How to get your business listed on Software Advice

A step by step guide to the Gartner Digital Markets vendor profile, what it asks for, how long each stage takes, and how to write a listing that AI assistants can quote.

Published by AI Knows Us · Updated 12 October 2026

Software Advice is one of three software directories run by Gartner Digital Markets. You get listed by creating a free vendor profile with Gartner Digital Markets, which feeds Software Advice, Capterra and GetApp from the same record. You submit the product name, category, description, screenshots, pricing and support details, wait for the Gartner Digital Markets team to check it, then collect reviews from real customers. The basic listing costs nothing. Paid placement is a separate product. This page is published by AI Knows Us.

The problem: your buyers ask an assistant first

A buyer who wants a payroll tool or a help desk no longer opens ten browser tabs. They type one sentence into ChatGPT or Perplexity: "best payroll software for a 40 person company in India". The answer comes back as a short list with reasons. If your product is not in that list, you were never in the running, and no analytics tool in your stack will tell you it happened.

Those answers are not invented from nothing. The assistant pulls from pages it can read and trust. Software directories are heavily represented in that pool, because they hold structured, comparable, frequently updated pages about thousands of products. Software Advice sits in that group alongside Capterra and GetApp, which are run by the same team, plus G2, TrustRadius and a long tail of category blogs.

So the practical question is not "should we be on Software Advice". It is "what exactly does a Software Advice listing need in it before an assistant will repeat it".

Why Software Advice shows up in AI answers

Last verified: 10 October 2026

Three properties make a directory page attractive to a language model that is assembling a recommendation.

  • Structure. Every product page carries the same fields in the same order: what it does, who it is for, pricing, deployment, support, integrations. A model can lift a fact without guessing.
  • Comparability. Category pages put twenty products side by side. That matches the shape of the question a buyer asked.
  • Third party voice. Reviews are attributed to named roles and company sizes. An assistant will quote a directory rather than your own homepage, because the directory is not you.

One structural fact matters for your effort budget. Software Advice, Capterra and GetApp are all Gartner Digital Markets properties. One vendor profile and one review pool serve all three. You are doing one piece of work and getting three indexed surfaces for it.

What Software Advice requires

Before you start the form, gather these. Missing items are the usual reason a submission sits in limbo.

  1. A live product with a public website and a working demo or trial path.
  2. A business email on your company domain. Free mailbox addresses tend to stall verification.
  3. A category choice. Pick the one your buyers would name, not the broadest one available.
  4. A product description. Write two versions: a short one of about 40 words and a long one of about 200.
  5. Screenshots of the actual product, not marketing mock-ups.
  6. Pricing information: starting price, currency, billing period, free trial yes or no, free version yes or no.
  7. Deployment and platform details: cloud, on premise, iOS, Android, desktop.
  8. Support channels and hours.
  9. A short list of named integrations.
  10. Customers who are willing to write a review and be verified.

Reviews have their own rules. Gartner Digital Markets verifies reviewers and rejects reviews that are incentivised in ways its policy does not allow, written by employees, or written by anyone with a stake in the vendor. Read the published review guidelines before you email a single customer, because a batch of rejected reviews costs you weeks.

Step by step: getting the listing live

  1. Go to the Software Advice vendor section at softwareadvice.com/vendors and start a vendor account. The same account covers the Gartner Digital Markets network.
  2. Verify your email and confirm you are authorised to represent the company.
  3. Search for your product first. If a listing already exists, created from public data or from a customer review, claim it instead of creating a duplicate.
  4. Choose your primary category. Then look at the existing category page and read how the top ten products describe themselves. You are writing for that comparison, not in isolation.
  5. Fill the product record: descriptions, features, screenshots, video, pricing, deployment, support, languages, countries served.
  6. Submit for review. A Gartner Digital Markets content team checks the record against its listing standards.
  7. Respond fast to any clarification email. This is where most of the elapsed time goes.
  8. Once live, invite customers to review using the official review link for your product. Do not use a form on your own site and paste the text in.
  9. Set a reminder to refresh pricing and screenshots every quarter. Stale pricing is the single most quoted wrong fact about software products.

How long it takes

There is no published service level that we could confirm, so treat the table below as planning guidance from the shape of the process rather than a promise from the directory.

StageYour effortTypical wait

Appearing in assistant answersKeep the page currentLongest stage

The last row is the one teams underestimate. A listing going live does not put you in an AI answer. The model has to encounter the page, and the page has to say something worth repeating. That is the next section.

What to put in the listing so it gets quoted

Assistants quote sentences that are specific, self-contained and checkable. They skip adjectives. Rewrite each field with that in mind.

FieldWeak versionQuotable version
Short description"Powerful, easy to use HR software for modern teams.""Payroll and attendance software for Indian companies with 20 to 500 staff. Handles PF, ESI and TDS filing."
Who it is for"Businesses of all sizes.""Used by manufacturing and retail firms with hourly shift workers across multiple sites."
Pricing"Contact us.""From 99 rupees per employee per month, billed annually, GST extra. Free 14 day trial, no card."
Integrations"Integrates with popular tools.""Native integrations: Tally, Zoho Books, Slack, Microsoft Teams, Razorpay."
Support"Great support.""Email and phone support, 9am to 7pm IST, Monday to Saturday. Dedicated manager on annual plans."

Three more rules that hold up well across directories, including LinkedIn company pages and Justdial:

  • Name the category the way buyers say it. If buyers say "attendance tracker", that phrase belongs in the first sentence, even if your internal name for it is "workforce operations platform".
  • Put numbers in. Seat counts, price, trial length, supported countries, hours of support. Numbers survive summarisation. Adjectives do not.
  • Answer the objection in the copy. "No setup fee." "Runs on Android phones with 2GB RAM." These are the lines a model lifts when a buyer asks a narrow question.

A worked example you can repeat

Take a hypothetical vendor, ExampleHR, in the attendance software category.

  1. Write the blind question first. Not "what do you think of ExampleHR", because that names the product and the engine will then talk about it. Instead: "Which attendance tracking software works for a 60 person factory in India with shift workers?"
  2. Ask it in five places on the same day: ChatGPT, Gemini, Perplexity, Claude and a Google search that triggers an AI Overview. Record every product named, in order.
  3. Note the sources cited. If Software Advice, Capterra or G2 appear in the citation list, that directory is in play for your category.
  4. Open the Software Advice category page and read the descriptions of the products that were named. Compare them with yours field by field.
  5. Rewrite your listing so each weak field becomes a quotable field, using the table above.
  6. Collect reviews that mention the use case. Ask customers to describe their situation, not to praise you. "We run three shifts across two plants" is worth more in an AI answer than "great product".
  7. Re-run the same five questions 30 days later. Record the counts again. If you asked ten questions and went from one mention to two, that is one extra mention, not a hundred percent increase. Say it that way.

Step seven is where most teams fool themselves. A handful of questions cannot produce a reliable percentage. Report the raw count and a range, or report nothing.

Where AI Knows Us fits

AI Knows Us is the tool we build, and this page is published by us, so weigh that accordingly. It measures how often a business is named across ChatGPT, Gemini, Perplexity, Claude and Google AI Overviews. Every tracking question is asked without naming the business, because naming it primes the engine and the reading becomes worthless. Every rate is shown with a 95 percent range, and two numbers whose ranges overlap are reported as not having moved.

Beyond measuring, it does the fixing: 13 agents handle intake, discovery, analysis, diagnosis, planning, writing, editing, publishing, scouting, outreach, experiments, lifecycle and a copilot. That includes writing and publishing pages, and asking other sites to name the business. A Software Advice listing is one of those sites, and it is one you can complete yourself with the steps above.

Paid plans are not open yet. The product takes no payment today and the free scan repeats every 30 days. AI Knows Us is made by Clyra Labs in India.

In the adjacent category of directory listing management, there are long-established tools built purely for that job, and for bulk listing submission across hundreds of directories they will do more than we do. In our own category, AI answer measurement, the specific reason to consider us is the blind question method plus the five-engine spread plus the published range. Alternatives in that category include Profound, Peec AI, Otterly.AI and Scrunch AI. Compare their methods directly on their own sites before you decide.

FAQs

Does a Software Advice listing cost money?

The basic vendor profile is free to create. Software Advice and the wider Gartner Digital Markets network also sell paid placement products, which are separate and priced on request. We hold no confirmed price for those, so check directly with their vendor team.

Can I get on Capterra and GetApp at the same time?

Yes. Software Advice, Capterra and GetApp are all Gartner Digital Markets sites and share one vendor account and one review pool. Build the profile once and it serves all three.

How many reviews do I need before I show up in comparison reports?

Gartner Digital Markets publishes a methodology page for its FrontRunners reports that sets a minimum review count and a recency window. Read the current numbers on that page rather than trusting a figure quoted elsewhere, because the thresholds have changed over time.

Can I write the reviews myself or ask staff to?

No. Reviews from employees, founders, investors or anyone with a stake in the vendor are rejected under the review guidelines, and repeated attempts put the whole profile at risk. Ask real customers and let them write what they want.

Will being on Software Advice get me into ChatGPT answers?

It improves the odds, because directory pages are widely read by assistants, but it is not a guarantee. The way to find out is to ask the buying question without naming your company, across several assistants, and count how often you appear before and after.

What is the single highest value edit to an existing listing?

Pricing. Replace "contact us" with a real starting price, the billing period, the currency and the tax treatment. It is the field buyers ask about most and the one assistants most often get wrong about software products.
