Hospital marketing techniques: the eleven that work, and the order to run them in

Capture the demand already searching, build referral supply, then create demand in the service lines with capacity.

Published by AI Knows Us · Updated 12 October 2026

Hospital marketing techniques fall into three groups, and running them in the right order is most of the result. First capture the demand already searching for you: complete listings for every site and every department, one page per service, a phone that gets answered and online booking that works. Second build referral supply: a physician liaison programme, clinician profiles a referrer can check, and a referral route that is faster than the alternative. Third create demand: screening events, community education and condition explainers for the service lines you have capacity in. Capture is cheapest, referral is the most durable, and demand creation only pays once the first two can absorb the volume.

Group one: capture the demand that already exists

  • One verified listing per physical location, not one per hospital group. A patient searches for the site they can reach. Every campus, clinic, diagnostic centre and urgent care unit needs its own listing with its own address, its own opening hours, its own phone number and its own photographs. Departments inside a large site need their own entry where they have their own entrance and reception.
  • One page per service, written for the patient's words. Patients search symptoms and procedures, not departments. A page titled "knee replacement" answers more searches than a page titled "orthopaedics", and it can carry the surgeon, the waiting time, the pre admission process, the cost or coverage position and the route to book. Build the department page as a hub and the service pages underneath it.
  • Answer the phone. In most hospitals the single largest marketing loss is unanswered or abandoned calls during clinic hours. Measure answer rate, abandon rate and average wait by hour and by department for one month before spending anything on advertising. Fixing a 20 percent abandon rate is cheaper than buying 20 percent more enquiries.
  • Online booking or a callback that actually lands. Where booking cannot be instant, a time boxed callback promise with a visible queue beats a form that disappears. Put the next available appointment date on the page where you can publish it honestly.
  • Clinician profiles. Named consultant pages with qualifications, registrations, languages spoken, conditions treated and clinic locations. These are read by patients choosing and by referrers checking, and they are usually the most visited pages on a hospital site after the home page.

Group two: build referral supply

For most hospital service lines the referring clinician decides, not the patient. Referral work is slower to start and far harder for a competitor to take away.

  • A physician liaison programme. One named person whose job is visiting referring practices on a route, carrying the information a referrer needs: current waiting times by consultant, what the hospital will and will not take, how to reach a consultant directly, and what the referring practice gets back after the episode.
  • A referral route that beats the alternative on friction. A single phone line that a practice manager can get through on, a secure email address that is monitored, a short form rather than a portal login. Referrers move to whoever makes the referral take two minutes instead of ten.
  • The report back. Sending a clear discharge summary to the referring clinician quickly is the strongest referral marketing a hospital has, and it is already somebody's job. Measure the time from discharge to summary received and treat it as a marketing metric.
  • Education for referrers, not advertising. A monthly case based evening, a short pathway update, a direct line to ask a question about a borderline case. Keep it clinical and keep a clinician presenting it.

Group three: create demand, in the lines with capacity

  • Screening and assessment events. A heart health check, a bone density day, a diabetic foot clinic. These work when the follow up pathway is booked on the day rather than promised, and they are the fastest way to fill a diagnostic list.
  • Community education. Talks at workplaces, schools, places of worship and community groups, delivered by a clinician, on a condition your service line treats. The measurable output is booked assessments, so bring a booking sheet.
  • Condition explainers that answer the questions asked before a hospital is chosen. What the procedure involves, how long recovery takes, what it costs or what is covered, what the alternatives are, how to prepare. These earn the search and they reduce the length of the first consultation.
  • Corporate and insurer relationships. Occupational health, executive health checks and preferred provider arrangements bring predictable volume into elective lines.
  • Patient stories, properly authorised. A real account of a pathway is the most persuasive asset a hospital owns. Patient information and patient stories need written authorisation before any marketing use, and in the United States that sits under HIPAA. Get the signed authorisation on file, keep it, and brief every agency that no case detail is usable without it.

Picking which techniques to run

TechniqueWhat it movesHow to judge it
Listings and service pagesEnquiries from people already searchingCalls and bookings attributed to the location and page
Call handling fixConversion of existing enquiriesAnswer rate, abandon rate, booked per call
Physician liaisonReferral volume and mixReferrals per practice per month, new practices activated
Screening eventsDiagnostic and elective volumeAssessments booked on the day, conversion to procedure
Condition contentEarly stage demand and trustEnquiries from the page, consultation length
Paid searchImmediate volume in a defined catchmentCost per kept appointment, not cost per click

Every row ends at the same endpoint: a kept appointment. Form fills, clicks and impressions are useful diagnostics and none of them is the number the plan is judged on. Most hospital budget is lost in the gap between an enquiry and a kept appointment, which is a scheduling and call handling problem wearing a marketing costume.

Three things to settle before you start

  • Which service lines. Rank them by contribution per case and by spare capacity, then pick two or three. Filling a clinic with low margin appointments while a high margin theatre list runs half empty is a marketing success and a business failure.
  • Data accuracy. One source of truth for every location's name, address, phone number, hours and consultant list, owned by a named person, pushed to the website and the listings together.
  • Review handling. A routine for responding to public reviews within a set number of days, written to say nothing about any individual's care. Responses are read by the next hundred patients far more than by the reviewer.

This page covers the techniques and the order to run them in. For choosing the service lines first and building the plan around them, see our page on healthcare marketing strategy. For the wording rules on individual adverts and claims, see what healthcare advertising may say.

Asked and answered: hospital marketing techniques

Which hospital marketing technique gives results fastest?

Fixing call handling, then completing location listings and service pages. Both act on demand that already exists, both can be done in weeks, and neither needs new budget. Demand creation and brand work compound over a longer period and are better started once capture is solid.

How do you market a hospital without advertising individual doctors?

Publish clinician profiles as factual information: qualifications, registrations, conditions treated, languages, clinic times. That is reference content a patient and a referrer both need, and it stays clear of comparative claims about any individual's skill. Keep superlatives out and keep the registration details in.

How much should a hospital spend on marketing?

Work it from the other end. Take the contribution per case in the service line you want to fill, decide what share of that you are willing to spend to win one case, and multiply by the cases you have capacity for. That gives a figure you can defend in a finance meeting, which a percentage of revenue never does.

Do community screening events pay for themselves?

They pay when the follow up is booked at the event and the pathway can absorb it. Run them for the service line with the most spare diagnostic capacity, staff them with the clinicians who will see the follow ups, and count assessments booked on the day as the primary number.

What should a hospital measure every month?

Six numbers: calls offered and answered by department, online bookings completed, referrals received by practice, new patient appointments kept, cost per kept appointment by channel, and review volume and rating by location. Everything else is a diagnostic for one of those six.

One route patients use that is not on the list

A growing share of patients now ask an assistant before they search. "Best hospital for a knee replacement near me", "which hospital in my city does paediatric cardiology", "is this hospital covered by my insurer". The answer is generated per question, it names a handful of providers, and it is built from what third party sources say about you as much as from your own site. AI Knows Us tests those questions and shows which sources the answer came from, with a free scan and no account needed at aiknowsus.com. It sits alongside the techniques above rather than replacing any of them.
