Zoho mail marketing: which Zoho product to send from, and how to set it up
Zoho Mail runs your mailboxes and Zoho Campaigns runs your marketing sends, and keeping the two apart is what protects your deliverability.

Use Zoho Mail for one to one business email and Zoho Campaigns for marketing sends. They are different products for different jobs. Zoho Mail gives your team mailboxes on your own domain, with per user daily sending limits designed for conversations, no unsubscribe handling and no campaign reporting. Zoho Campaigns is the bulk email product: lists, consent records, templates, scheduling, A/B testing, automatic unsubscribe links and open, click and bounce reporting. Zoho Marketing Automation sits above Campaigns and adds journeys, lead scoring and web behaviour. Whichever you send from, authenticate your domain once with SPF, DKIM and DMARC records, because that is the single step that decides whether your mail reaches inboxes at all.
The common mistake is pasting three hundred addresses into a Zoho Mail message. It will mostly not arrive, there is no unsubscribe link in it, and the complaints land on the same domain reputation your invoices and client replies depend on.
Which Zoho product for which job
| Job | Product | Notes |
|---|---|---|
| Staff mailboxes on your domain | Zoho Mail | Conversations, support replies, quotes. Per user daily send limits |
| Newsletters and campaign broadcasts | Zoho Campaigns | Lists, consent, templates, unsubscribe, reporting |
| Journeys, scoring, web behaviour | Zoho Marketing Automation | Campaigns plus lifecycle automation |
| Personal sequences from a salesperson | Zoho CRM email, or Bigin for small teams | Sent as the individual, with low volume limits and CRM logging |
| Transactional mail from your product | Zoho ZeptoMail | Receipts, password resets, alerts. Keep this stream separate from marketing |
| Signup forms and preference capture | Zoho Forms, or the Campaigns signup form | Feeds the list with the consent record attached |
The rule behind the table: marketing, transactional and conversational mail are three streams, and keeping them on separate products, and ideally separate sending subdomains, means a problem in one does not take the other two down with it.
Why marketing sends do not belong in a mailbox
- Daily limits exist for a reason. Mailbox products cap sends per user per day, and a campaign split across days to fit the cap arrives as an inconsistent mess.
- No unsubscribe mechanism. Marketing mail needs a working one click unsubscribe, and the major inbox providers now expect it in the headers of bulk mail.
- No consent record. If somebody asks how they got on your list, a mailbox cannot answer. Campaigns stores the signup source and date.
- No reporting. Opens, clicks, bounces and complaints are how you improve, and a mailbox records none of them.
- Shared reputation risk. Complaints against a campaign sent from your main domain follow your ordinary business mail into the spam folder.
Authenticate the domain before you import a single contact
Three DNS records, added at your domain registrar or DNS host. Do these first. Problems created here take weeks to recover from and minutes to prevent.
- SPF. One SPF record for the domain, listing every service allowed to send as you. Zoho publishes the include value to add. Never create two SPF records; merge them into one.
- DKIM. Generate the key in the Zoho console and publish the provided TXT record, then verify it in the console. This signs your mail so receivers can confirm it was not altered.
- DMARC. Start with a monitoring policy and a reporting address so you can see who is sending as your domain, then tighten the policy once your legitimate sources all pass.
- A sending subdomain for marketing. Send campaigns from a subdomain such as news or mail at your domain. Reputation then builds separately from your main business mail.
- Verify the from address inside Campaigns. Zoho requires a verified sender, and a real monitored reply address performs better than a no reply one.
Here is the shape of the records, with your own values from the Zoho console in place of the placeholders:
Type Host Value
TXT @ v=spf1 include:PROVIDER_INCLUDE ~all
TXT SELECTOR._domainkey v=DKIM1; k=rsa; p=PUBLIC_KEY_FROM_CONSOLE
TXT _dmarc v=DMARC1; p=none; rua=mailto:dmarc@example.com; fo=1 Setting up the first campaign properly
- Import with the consent field intact. Source, date and the wording people agreed to, as columns in the import. Zoho will ask you to confirm how the list was collected, and a straight answer there is what keeps the account healthy.
- Turn on double opt in for new signups. It costs you some list growth and buys you a list that reaches inboxes.
- Segment before you design. Customers, prospects, lapsed, and by product or location. One message to everybody is the main cause of unsubscribes.
- Build one template and keep it. A single column layout, real text rather than an image of text, a clear sender name, and a plain text version generated for every send.
- Warm up a new sending domain. Start with your most engaged few hundred contacts and increase volume over two or three weeks rather than sending to the whole list on day one.
- Test before every send. Send to yourself on two different providers, check the links and the unsubscribe, and read it on a phone.
- Connect the CRM. Sync Campaigns with Zoho CRM so campaign activity appears on the contact record and suppressions apply in both directions.
Keeping the list healthy
- Remove hard bounces immediately and investigate any send with a raised bounce rate before the next one goes out.
- Suppress the long term unengaged. Contacts who have not opened in a year are the fastest way to damage a sender reputation. Run one win back, then stop mailing them.
- Honour unsubscribes everywhere, including in CRM sequences and uploaded ad audiences, not only in Campaigns.
- Include your postal address and a clear sender identity, which is required by anti spam law in several markets and improves trust in all of them.
- Watch complaints, not just opens. Open rates have become unreliable since privacy features began pre fetching images, so judge campaigns on clicks, replies and conversions.

Asked and answered: zoho mail marketing
Can I send bulk email from Zoho Mail?
Zoho Mail is built for conversations and caps daily sending per user, with no unsubscribe handling or campaign reporting. Send marketing through Zoho Campaigns instead and keep the mailbox for one to one mail.
Is Zoho Campaigns free?
Zoho offers a free tier with contact and send limits, then paid plans priced by contacts or by email credits. Check the current plan page against your real monthly send volume before choosing.
What is the difference between Zoho Campaigns and Zoho Marketing Automation?
Campaigns sends and reports on email. Marketing Automation adds journeys, lead scoring, website behaviour tracking and multi channel steps. Teams often start with Campaigns and move up when the journeys get complicated.
Do I need SPF, DKIM and DMARC for Zoho?
Yes, for any domain that sends mail. SPF lists your allowed senders, DKIM signs your messages, DMARC tells receivers what to do when a check fails and reports who is sending as you. Set all three before your first campaign.
Should marketing email come from a subdomain?
Yes, once you send regularly. A separate sending subdomain keeps campaign reputation apart from the domain your invoices and client replies travel on.
Can Zoho Campaigns work with a CRM other than Zoho?
Zoho publishes integrations beyond its own suite, and both ends also support list sync through their APIs. Whichever route you use, decide which system holds the master contact record first.
The inbox that no longer gets the question
Email reaches people who already know you. The people who do not are increasingly asking an assistant: ChatGPT, Gemini, Perplexity, Claude or Google's AI Overviews, and taking the two or three companies it names as the shortlist. Those answers are built from pages, listings, reviews and comparison articles, and each assistant names a different handful because each reads different sources.
It takes a few minutes to see where you stand. Ask the question a prospective customer would ask, keep your own company name out of the prompt so the answer comes back clean, and note who is named and what is cited. AI Knows Us measures what those answers say about a business.
