Best cold email platforms compared: what sets each tier, and the deliverability work no platform does for you

Cold email tools are priced on mailboxes, sends and verified contacts. The published limits are easy to compare; the domain and warm up work that decides whether any of it arrives is yours either way.

Cold email platforms are priced on three numbers and they publish all three, which makes this one of the easiest software comparisons in marketing. How many sending mailboxes or senders you may connect, how many emails a month you may send, and how many verified contacts the plan includes. Everything else on the page is a feature list the whole category shares. Decide your three numbers, read three pricing pages, and the choice is made.

What each platform publishes, read on 21 October 2026

  • Instantly publishes unlimited email accounts and unlimited email warm up on its plans and sets the tier by emails a month instead, with private infrastructure and higher usage limits on the upper tiers. If you intend to run many mailboxes at modest volume each, an unlimited mailbox allowance is the published fact that matters most, and Instantly is the one that states it.
  • Smartlead publishes the most granular ladder: contacts, monthly email sends and verified prospect emails together, running from 2,000 contacts with 6,000 sends and 2,000 verified emails at the base, to 30,000 contacts with 90,000 sends and 30,000 verified, to unlimited contacts with 150,000 sends and 50,000 verified, to 500,000 sends with 170,000 verified at the top. It also publishes clients per workspace and private infrastructure as tier lines, which is the agency shaped unit in this category.
  • lemlist publishes unlimited users and email senders on its email plan with a chosen monthly email volume, then prices its multichannel plan per user with five senders per user, and publishes advanced login security with SAML only on its enterprise tier. It is also the only vendor in this set that publishes a model context protocol server and a command line tool for its own product, plus a page of structured data aimed at AI agents, which tells you something about where this category thinks buyers now look.
  • Amazon SES is not a cold email platform and is worth knowing about anyway, because it is the cheapest sending layer at volume and prices per account per region per month. Its deliverability add on publishes one domain, one dedicated address and five seed list tests at the lower tier against five domains, twelve addresses and twenty five tests above it. Teams building their own sequencing use it underneath; teams buying a product do not.

On the stated criterion: Instantly wins for mailbox count, Smartlead wins for a published client and workspace structure and for verified contact allowance, and lemlist wins for seat generosity on its email plan and for publishing its security tier line openly.

The work the platform does not do

Every tool in this category can send. What decides whether the mail arrives sits outside all of them.

  • Separate sending domains. Never send cold mail from the domain your invoices and your sales replies come from. A reputation problem on it is expensive in a way no sequence recovers.
  • Authentication on each domain before the first send, with the from header aligned, and a published policy record in place.
  • Warm up over weeks, not days. Volume per mailbox stays low and rises slowly. Unlimited mailboxes are not a substitute for warm ones.
  • List verification before import, because bounce rate is the fastest way to lose placement for every mailbox on the domain.
  • A working unsubscribe and accurate headers. The CAN SPAM Act sets the legal floor for commercial email in the United States and applies to cold mail exactly as it does to a newsletter.
  • One inbox for replies, with somebody watching it. The commonest failure in cold email is not deliverability, it is a reply sitting unread for four days.

If you would rather buy the work than the software, what you are actually buying is set out in cold email agency, and the deliverability work that decides the result. The placement fundamentals that apply to every kind of sending are in email marketing deliverability and list health.

What teams ask when choosing a cold email tool

How many mailboxes do I need?

Work backwards from a safe daily volume per mailbox and the number of contacts you want to reach in a month. The answer is usually more mailboxes at lower volume each rather than fewer at high volume, which is why unlimited mailbox allowances matter in this category and nowhere else in email.

Is multichannel worth paying for?

Only if somebody will actually run the other channels. A sequence with three unanswered LinkedIn steps in it performs worse than a shorter email only one, because the gaps show.

Should I use the platform's own lead database?

Verify anything you take from one before you send to it, whoever supplied it. Bounce rate is the single number that ends a sending domain, and a database is only as current as its last refresh.

What does a sensible first month look like?

Two domains, four mailboxes, a verified list of a few hundred, one sequence of three emails, and a human reading replies daily. Scale the mailbox count before you scale the volume per mailbox.

The channel that works in the opposite direction

Cold email reaches buyers who were not looking for you. There is a second group, usually more valuable, who are looking right now and asking somewhere you cannot send to. They open ChatGPT, Gemini, Perplexity, Claude or Google AI Overviews and ask who to use for what you sell, and the answer names two or three businesses, assembled from reviews, roundups, directories and forum threads.

We do not sell a cold email platform and nothing here suggests buying us as one. The adjacent category is measuring whether those assistants name your business, and it is the one we work in. On the criterion used above, the limits a vendor publishes before you pay, AI Knows Us publishes its own openly: five surfaces named, one credit as one buyer question asked on one app once with Claude at three, questions watched and answers read per plan, one login with full access, and United States prices rendered on the page. Where a rival publishes more, said plainly: Ahrefs Brand Radar publishes a per check overage rate and the exact per platform cost of a Claude check on ahrefs.com/brand-radar, read 21 October 2026, where we publish no overage rate at all, and Rankscale publishes brand dashboard slots from ten to one hundred on rankscale.ai/pricing, read the same day, which fits an agency better than our single business coverage.

Run both directions at once. Outbound finds people who were not looking, and the assistant check tells you what happens when the same person goes and looks.

The sequence is the machinery and the message is the craft, and a cold email carrying one offer is a different object from a newsletter. The structure that works, with the copy filled in, is in the offer email template, one offer and one action.

If the sequence will ever add a text message step, the consent rules change and they are stricter than email. How each provider handles that, and why the consent stack is the product, is in the SMS marketing companies compared on their consent stack.
