Best edtech marketing agency for your product, and the procurement chain that decides which one is any use

Three completely different buyers hide inside the word edtech, they buy on three different calendars, and the agency that is right for one of them will waste a year on another.

Published by AI Knows Us · Updated 22 October 2026

The right edtech marketing agency is decided by who signs your contract, not by who writes your blog posts. There are three buyers in this market and they have almost nothing in common: a school district, a college or university, and a learner paying with their own card. A district purchase moves through a committee, a data and security review, a pilot and a budget cycle locked to the school year. A learner purchase moves in an afternoon. An agency that is excellent at the second is close to useless on the first, and the search term does not separate them. So settle which one you sell to, then read the rest of this page.

The three buyers, and what marketing to each actually has to produce

The district, or K-12. The person who finds you is often a teacher or a curriculum lead with no authority to buy. The person who signs is a business office, and between them sits a technology director who will ask how student data is handled before anyone discusses price. The marketing deliverables are therefore unusual: a page that a technology director can read and forward, documentation that survives a security questionnaire, pilot materials, and evidence that works at committee rather than in an inbox. Pipeline here is measured in school years.

Higher education. The buying unit is a department, a faculty or a central IT function, and which one it is changes everything about who you talk to. Procurement is formal, often an RFP, and the approval chain is long enough that it is the main thing an agency needs to understand. We cover that side separately in the approval chain that decides which higher ed agency you can hire, which is the page to read if the institution is the buyer rather than the product. We measured our own internal links on 21 October 2026 and 1,015 of our 2,598 live pages carry no durable inbound link; that one is among them.

Direct to learner. A person buying a course, a tutor or a skills product for themselves. This is consumer marketing with a considered purchase in front of it, and the agency you want is a performance and lifecycle shop, not an education specialist. Our page on what an online course business can watch at the entry tier deals with that buyer.

One product can have two of these buyers at once, and that is the situation where an agency choice goes wrong most expensively, because the two programmes share nothing but the logo.

The four suppliers that answer this search

The B2B software specialist. Knows long cycles, committees and security reviews. Usually has no education experience and does not need much, because the hard part is the committee rather than the subject.

The education sector specialist. Knows the districts, the conferences, the associations and the school-year calendar. The risk is a shop that knows the sector and not the software sale.

The demand generation agency. Paid, lifecycle, pipeline. Useful once you know which buyer you are chasing and what the offer is, and actively harmful before that, because it will efficiently generate the wrong leads.

The product marketing consultancy. Positioning and messaging, not campaigns. The right purchase when the real problem is that a teacher, a technology director and a business office each need a different sentence about the same product.

The criterion, applied to everybody including us

The criterion on this page is what the agency publishes that a buyer can verify before paying: a price or a range, a case study that states how its number was measured, the segments it actually serves, and a process with named deliverables. It is a fair test for this market because it is the same test your own district buyer is about to apply to you. A vendor who will not publish a method is asking for trust, and a technology director does not extend trust.

Nobody ranks first on that criterion, and here is the reading behind that

We ranked no agency first on this page, and the reason is a measurement rather than a judgement.

Read on 21 October 2026, Responsify's edtech agency page publishes the segment it serves clearly, "we focus on accelerating the growth of EdTech organizations", and names a four-stage "Inbound Marketing Methodology" of attract, convert, close and delight. It publishes no price, saying only that its "services are competitively priced". It publishes no case study with a stated measurement method on that page. And it carries a market-size figure, the sector "valued at almost 123.4B in 2022 and rising at a projected rate of 13% year over year through 2030", with no source and no currency stated. A figure with no unit is not a figure, and a buyer who repeats it in a board paper has inherited somebody else's unverified number.

A second reading we are reporting as a failure of ours, not theirs. We also tried to read Insivia's edtech industry page and got HTTP 404. We had assembled that URL from a search result rather than taking it from the site's own navigation, so the 404 is evidence about the URL we built and not about the agency. We are saying so because the opposite mistake, reporting a constructed URL's 404 as a finding about a company, is exactly the error this kind of page should never make.

So the honest state of this category on 21 October 2026 is that the first US edtech agency page we read did not meet the criterion, and we are not going to promote somebody to first place to give the page a winner. What we can hand you instead is the set of questions that make an agency produce the evidence on demand.

The five questions that sort an edtech agency shortlist

  • Which of the three buyers have you sold to, and when. Not "education". District, institution or learner, with a date. The calendars are different and experience does not transfer.
  • Show me a page you wrote for a technology director. If the answer is a brochure page, they have never been through a security review with a client. This is the single fastest filter in the list.
  • What is your plan for the months when nobody is buying. A district year has dead stretches. An agency that proposes the same monthly activity all twelve months has not noticed.
  • How was the number in that case study measured, and by whom. Ask for the source, the date range and who ran it. A percentage with no method is a sales asset.
  • Who on your team will do the work, and how many hours a week am I buying. At realistic edtech budgets the honest answer is a few hours of a junior person plus senior oversight, and the firm that says so is the more trustworthy one.

Before you brief anybody, settle the accounts and the number

Two things to do in your own name rather than the agency's, because the history leaves with the relationship if you do not. Create and own every account yourself, domain, hosting, analytics and each advertising account, and grant the agency access. Then agree one primary number in writing with its source, whether that is qualified district conversations, pilot starts or paid seats, and write down what it is today with the date. Without that baseline, month four is unreadable.

The place your buyer now asks, that nobody on your shortlist is measuring

Here is what has changed about how a teacher, a department head or a technology director builds a shortlist. They ask an assistant. The question is some version of what is the best tool for this subject, this age group, this problem, and ChatGPT, Gemini, Perplexity, Claude and Google AI Overviews each compose an answer that names a handful of products.

That answer is generated for each asker, so there is no ranking to look up, no listing to claim and nothing in your analytics that records it. Your product can have the best documentation in the category and simply not be one of the names that comes back. In a market where the first contact is usually an educator with no budget authority doing exactly this kind of research, being absent from that answer removes you before any procurement chain begins.

AI Knows Us measures that one thing and sells nothing else. We are not a marketing agency and we are not on the shortlist above; if you need an agency, hire one of the four kinds described here. What we do is ask your buyer's question in all five apps on a schedule and record which products were named. From our own pricing page read 21 October 2026, one credit is one buyer question on one app once, and "A Claude check uses 3, because Claude costs us more to run." The cheapest plan that reads all five surfaces is Growth at $299 a month, with 100 buyer questions watched and 1,200 scheduled answers a month. One credit is one buyer question, asked on one AI app, once, and a Claude check uses 3; the pricing page sets Growth at 1,200 scheduled answers a month. The $149 tier is SEO Start and carries no AI answer checks at all, so it is not an entry price for this.

Where a rival beats us, by name. Profound, read at tryprofound.com/pricing on 21 October 2026, publishes "Up to 9 Answer Engines tracked" on its Enterprise plan against the five surfaces we read, plus "SSO/SAML + SOC 2 compliance" and "Both plans include unlimited seats". We searched our own pricing page's HTML on word boundaries the same day and found no SSO, no SAML, no SOC 2, no ISO, no white label and no DPA in it. For an edtech company selling into districts, where a security questionnaire is the gate on every deal, a vendor publishing SOC 2 is answering a question we currently do not, and you should weigh that honestly. Our own pricing page also renders "More than one business" as No on all eight plans while a separate row lists 10 businesses covered for Agency; both lines are live and we are reporting both.

Questions about hiring an edtech marketing agency

Is an education specialist worth paying more for

If your buyer is a district or an institution, yes, because the calendar and the approval chain are most of the difficulty and they cannot be learned inside one engagement. If you sell direct to learners, no, and a performance shop with no education history will usually do better work.

When an edtech programme can be judged

Ask the agency to map it against the school year rather than against months, and judge the answer by whether they volunteer the dead stretches. A plan that shows smooth growth across twelve equal months was not written for this market.

What should an edtech agency produce in the first ninety days

Positioning that gives a teacher, a technology director and a business office each their own sentence, one page written for the technology director, and a measurement baseline with its source written down. Campaign volume before those three exist spends money attracting people who cannot buy.

Should we market to teachers or to administrators

Both, in sequence, with different material. The teacher finds you and creates the internal demand; the administrator approves it and needs completely different evidence. Treating them as one audience is the most common wasted budget in this category.

How do I check an agency's case study is real

Ask who measured the number, over what date range, and from which system. A case study that names its source and its window is usable. One that gives a percentage and a logo is a design asset, and you should price it accordingly.
