Best SEO campaign management software compared, ranked on how many client businesses one account covers

Every vendor in this category sells roughly the same board, the same client report and the same rank panel. The number that decides whether the software fits is how many separate businesses one account holds, and whether the second person on your team costs extra.

If you run SEO for more than one business, the software you are shopping for is not an SEO suite. It is the layer that holds a client, its keywords, its tasks and its monthly report in one place, and the only figure that decides whether it fits is the one almost nobody checks before buying: how many separate businesses one account covers, and what a second person on your team costs. On that figure, read on each vendor's own pricing page on 21 October 2026, AgencyAnalytics publishes the most and caps the least, Raven Tools publishes both numbers on every tier, Semrush publishes the site count but sells the colleague as an add-on, and Ahrefs includes one user and charges a published rate for the next one.

Three different products answer this one phrase

Before the comparison, work out which of the three you are short of, because buying the wrong one is the usual mistake here.

  • A research suite. Keyword data, backlink indexes, site crawls. This is what people mean by an SEO tool, and it manages no campaign at all.
  • A work system. Intake, a backlog, tickets, a definition of done. Generic project software does this well and knows nothing about SEO.
  • A campaign layer. One workspace per business, holding that business's keywords, its tasks, its integrations and its client-facing report. This is the thing the search phrase is reaching for, and it is the only one of the three priced on how many businesses you hold.

If your problem is that work stalls at approval rather than at assignment, the purchase is a work system and the vendor set is different. That decision is worked through separately in the comparison of marketing workflow software on whether an outside reviewer needs a paid seat, and the ordinary version of the work system itself, the intake and the backlog, is set out in the piece on SEO task management.

The criterion, stated once and applied to everybody

One criterion, because it is the one a buyer can verify before paying and the one that sets the real bill: what does the vendor publish, on its own pricing page, about how many client businesses one account covers and what an extra person costs. Not what a sales call says. What renders.

Everything else in this category is advertised in the same words by everyone, so it sorts nobody. Client reporting, dashboards, integrations and white labelling appear on all four of these pages. The business count and the seat charge are where the pages actually differ, and they are the two numbers that decide whether the tool survives your fifth client.

VendorWhat its own pricing page publishes, read 21 October 2026
AgencyAnalyticsPriced per client rather than per tier, with the page asking how many clients you manage. Listed as included with every client: unlimited data sources, unlimited reports and dashboards, unlimited staff accounts, automated client reporting and a white-labelled client portal. Its feature table publishes unlimited staff users and unlimited client users, plus a client access portal and custom permissions.
Raven ToolsFive tiers, each publishing a domains and campaigns figure beside a users figure: 2 and 2, then 20 and 4, then 80 and 8, then 160 and 20, then 320 and 40. Automated client reports read unlimited on all five. White label reads subdomain, email and report on the lower two tiers and full white label on the upper three.
SemrushPublishes websites to monitor as 5, 5, 15 and 40 across its four printed columns, with keywords to track at 500, 500, 1,500 and 5,000. Additional users are an add-on with its own monthly rate rather than an allowance inside a plan. Share of voice reads no, no, no, yes. Its custom tier publishes unlimited projects and custom limits.
AhrefsPublishes 5 non-verified projects plus unlimited verified projects, 750 tracked keywords, 150 checks on AI prompts and 100,000 crawl credits. One user is included and further users are added at a published per user monthly rate.

Two fetches belong in the record rather than in the table. On 21 October 2026, seranking.com/prices.html and seranking.com/prices/ both returned HTTP 404 under the title Page not found, while seranking.com/pricing.html returned 200 and redirected to seranking.com/subscription.html. A 404 records where a page is not, on a date, and says nothing about the product behind it, so SE Ranking is left out of the order rather than ranked on a URL that moved.

The order, and why it runs that way

AgencyAnalytics is first on this criterion, because it is the only one of the four that publishes both numbers and caps neither. The unit of billing is a client, so the business count is not a ceiling at all, and staff users and client users both read unlimited. For an agency adding its sixth and seventh client, that is the shape that does not produce a surprise.

Raven Tools is second, and it is the most complete publication in the set even though it finishes behind. Every one of its five tiers prints the business count and the seat count side by side, which is unusual enough to be worth saying plainly, and it is why it loses only on the caps themselves: eight users on the middle tier is a real ceiling where the vendor above it has none. Its ladder is read line by line in the full read of what Raven Tools publishes, including what it says about ownership.

Semrush is third for this purchase and would be first for a different one. Its printed unit is websites to monitor, which is not the same promise as client businesses: a website is a crawl target, a client is a relationship with a report and a login. The colleague being an add-on rather than an allowance is the detail that changes the arithmetic for a three person team, so price the team before you price the plan.

Ahrefs is fourth here and is nobody's campaign layer. Its project figure is split into verified and unverified, which is a condition rather than a number: unlimited sounds generous until you notice it applies only to domains you can prove you control, which is the opposite of an agency's prospect list. One included user with a published charge for the next is a clear statement, and it is a statement about a research seat rather than about a client workspace.

The word campaign is being retired, and one vendor says so on its own page

Anyone searching for campaign management software should know that the leading vendor in this set has renamed the thing itself. AgencyAnalytics answers the question directly in its own FAQ, read on 21 October 2026: a Client, formerly called a Campaign, represents one business relationship you manage.

That is not a branding detail. A campaign has a start and an end, and software priced per campaign rewards you for finishing things. A client is a relationship, and it explains why the figure that matters moved from how many campaigns you run to how many businesses you hold.

What to settle before you sign, since the demo will not raise any of it

  • Who owns the integrations. The tool connects to your client's Search Console and ad accounts. Settle in writing that the client keeps those connections when the engagement ends.
  • What happens to a report after you cancel. Ask whether historic reports stay readable or stop at the last invoice, and get the answer in text.
  • Whether the white label covers the sending domain. Rebranding a dashboard and sending the email from your own domain are two different features, and the lower tiers of this category usually give you one of them.
  • The seat you forgot. Count the bookkeeper, the contractor and the client who wants to log in. That number, not the keyword allowance, is what moves most buyers up a tier.

If what you actually need is studio scheduling, time and job costing rather than SEO reporting, the vendor set changes again and the deciding number becomes a seat minimum. That comparison is the one on creative agency management software and the user minimum that sets the real price.

The campaign on which none of these four has a board

Every tool above tracks a position in a results page. None of them tracks the sentence an assistant speaks when somebody asks it who to hire, and that sentence is now part of the same client conversation. Three of the four have noticed: AgencyAnalytics publishes an AI Tracker in beta, priced in credit blocks, for brand visibility, sentiment, position and citations across leading AI engines; Ahrefs publishes Brand Radar for brand visibility in large language models; Semrush publishes multi-brand AI visibility and unlimited daily prompt tracking on its custom tier. So this is a contested space rather than an empty one, and anybody telling you otherwise has not read the pricing pages.

AI Knows Us is the measurement rather than the campaign layer. We put your client's buying question to ChatGPT, Gemini, Perplexity, Claude and Google AI Overviews without the client's name in the question, and report which business was named instead, with the sources behind each answer. We do not hold your backlog, your tickets, your invoices or your client logins, and a reader shopping for the board above should buy the board above.

Where the vendors on this page beat us, plainly. Raven Tools publishes full white label on three of its five tiers and AgencyAnalytics includes a white-labelled client portal with every client. Our own pricing page, fetched as GPTBot on 21 October 2026 and searched on word boundaries across the whole 119,203 byte document, returns zero matches for white label, SSO, SAML, SOC 2, ISO and DPA. In our own category the same applies: tryprofound.com/pricing publishes SSO and SAML with SOC 2 compliance on its enterprise tier and unlimited seats on both of its plans, and rankscale.ai/pricing publishes unlimited seats with no per seat charge, white-labelled dashboard links and 50 brand dashboards on its upper tier. If a rebranded client dashboard or a security review decides your purchase, those vendors answer it today and we do not.

Our own page also contradicts itself on the one number this page ranks on, and the honest thing is to print both readings. The comparison table on aiknowsus.com/pricing reads no in the more than one business row for all eight plans, while the agency calculator further up the same page renders 10 brands. Both render to a crawler. The plan ladder beside them prints Growth at $299 a month as the cheapest plan that watches all five AI apps, with the lower SEO tier carrying no AI app checks at all, and a Claude check using three credits because Claude costs more to run.

Questions buyers ask about SEO campaign management software

Is campaign management software the same as an SEO tool?

No. An SEO tool gives you data about a site. A campaign layer gives each client a workspace, a report and a login. Most agencies end up paying for both, and the campaign layer is usually the cheaper of the two.

Can I run client SEO on generic project software?

Yes, for the work itself, and many good teams do. What generic software will not do is pull a client's search data into a report the client reads without you rebuilding it every month. That is the line where this category earns its fee.

Which published number should decide the tier?

Count your client businesses, then count every person who needs a login including contractors and the client. Compare those two numbers against the vendor's published business count and seat allowance. The keyword allowance almost never decides it.

Does white labelling matter?

It matters if your client would be unsettled to see another company's logo on their monthly report. Check whether the rebrand covers the dashboard, the report and the sending domain separately, because the lower tiers in this category often cover one and not the others.

What should I ask about the data when a contract ends?

Two things, in writing. Whether the client keeps the Search Console and ad account connections, and whether historic reports stay readable after the last invoice. Both answers are easy to get before you sign and awkward to get afterwards.
