Email marketing templates for photographers: six emails to copy, and the line between a client email and a marketing one
Ready to adapt email templates for photographers, from the enquiry reply to the mini session announcement, with the CAN-SPAM and UK rules that decide which ones need an unsubscribe link.

The email templates a photographer needs fall into two groups. Client emails move a booking along: the enquiry reply, the booking confirmation, the session prep guide and the gallery delivery. Marketing emails bring past clients and subscribers back: the review request follow up, the mini session announcement and the anniversary offer. Below are six templates to copy and adapt. The difference between the two groups is not only tone. Under the US CAN-SPAM Act, a promotional email needs an unsubscribe option and your postal address, while an email that completes a booking the client already agreed to is a transactional message and is treated differently. Keep the two apart and both work better.
Why email works so well for photographers
A photographer's best future client is often a past one. The family you photographed last autumn will want photos again next autumn. The couple you married may want anniversary or newborn photos. Email reaches them directly, without an algorithm, at the moment you choose. It also carries the booking itself: a quick, warm, well organised reply to an enquiry is one of the strongest reasons a client picks one photographer over another.
Template 1: the enquiry reply
Send it within one working day. Answer their question first, then give them one clear next step.
Subject: Your [session type] on [date] Hi [Name], Thank you for getting in touch about your [session type] on [date]. I am available that day, and [location] is a lovely place to shoot. My [package name] starts at [price] and includes [what is included]. The full pricing guide is attached. The easiest next step is a 15 minute call so I can hear what you have in mind. You can pick a time here: [booking link]. [Your name] Personalise the first line every time. Clients can tell when a reply is a copy, and the first line is where they look.
Template 2: booking confirmation
Subject: You are booked: [session type], [date] Hi [Name], Your session is confirmed for [date] at [time], at [location]. Your contract and receipt are attached. Over the next few weeks I will send you a short guide on what to wear and how the session works. If anything changes, just reply to this email. I am looking forward to it. [Your name] Template 3: session prep guide
Send it one to two weeks before the shoot. This is where you head off most of the worries that make sessions go badly.
Subject: Getting ready for your session on [date] Hi [Name], Here is everything you need for [date]: - Where: [location and parking]
- When: please arrive at [time]; we will shoot until about [time]
- What to wear: [two or three simple tips], and the full guide is here: [link]
- If it rains: [your weather plan]
- With children: bring a snack and a favourite toy; short breaks are normal Any questions, just reply. [Your name] Template 4: gallery delivery and review request
Clients are happiest the moment they see their photos, so this is the right time to ask for a review.
Subject: Your gallery is ready Hi [Name], Your photos from [date] are ready: [gallery link]. The gallery stays open until [date], and you can download everything from it. If you enjoyed the session, an honest review on [review site] would mean a lot and helps other families find me: [review link]. Thank you for having me along. [Your name] Ask for an honest review, not a good one. The FTC's rule on consumer reviews (16 CFR part 465, read 21 October 2026) makes it unlawful to offer a reward conditioned on a review expressing a particular sentiment. A thank you gift for any honest review is a different thing from a discount only for five stars.
Template 5: mini session announcement
This one is marketing, so it goes only to people who agreed to hear from you, and it carries the unsubscribe link and address covered below.
Subject: Autumn mini sessions, [date] at [location] Hi [First name], I am running autumn mini sessions on [date] at [location]: 20 minutes, [number] edited photos, [price]. There are [number] slots, and past clients get first choice until [date]. Book here: [link]. [Your name] [Business name], [postal address]
No longer want these emails? [Unsubscribe link] Template 6: the anniversary or one year email
Wedding and newborn photographers can send this one year after the session. It is a warm note first and an offer second.
Subject: One year since [event] Hi [First name], It is a year since [event], and I still remember [one specific detail]. If you would like to mark it, I am offering past clients [offer] on [session type] until [date]: [link]. Wishing you a lovely day. [Your name] [Business name], [postal address]

In the United States: CAN-SPAM
The CAN-SPAM Act (15 U.S.C. 7702 and 7704, and the FTC's rule at 16 CFR part 316, read 21 October 2026) sets these rules:
| Type | What it must carry | |
|---|---|---|
| Enquiry reply, booking confirmation, prep guide, gallery delivery | Transactional or relationship: it facilitates, completes or confirms a transaction the client agreed to, or delivers what they paid for | Accurate sender and header details |
| Mini session announcement, anniversary offer, newsletter | Commercial | Clear identification as an advertisement unless the person gave prior consent, a working opt-out, and a valid physical postal address |
Watch the mixed email. If a gallery delivery email also promotes your mini sessions, the FTC treats it as commercial if a reader would expect a promotion from the subject line, or if the gallery content does not come first in the body. Keep the promotion out, or keep it short and below the gallery link.
Unsubscribe requests must be honoured within 10 business days. Many photographers work from home and do not want their home address in every email. The FTC's definition of a valid physical postal address includes a Post Office box registered with the US Postal Service, or a private mailbox registered with a commercial mail receiving agency.
In the United Kingdom: PECR
The ICO's guide to electronic mail marketing (read 21 October 2026) explains the soft opt-in: you may email marketing to your own customers about similar services if you gave them a clear chance to opt out when you collected their details and in every message. It does not cover new contacts who never booked. The ICO notes that the guide is under review following the Data (Use and Access) Act, so check it again before relying on it.
Making the templates work
- Store them as snippets in your email client or studio management tool so each one takes a minute to personalise.
- Keep client emails personal, sent from your own address, in plain text or close to it.
- Keep marketing emails to a list in an email marketing tool that adds the unsubscribe link and address for you.
- Track bookings from each marketing email, not only opens.

Photography email marketing: what photographers ask
How often should a photographer send marketing emails?
Monthly or around your seasons is enough. Past clients mainly need to hear about mini sessions, holiday sessions and anniversary offers.
Do gallery delivery emails need an unsubscribe link?
Not under CAN-SPAM if the email's primary purpose is delivering the gallery the client paid for. Add a promotion and it may become commercial, so keep any offer brief and below the gallery content.
Can I add every client to my newsletter?
In the US you may send commercial email with a working opt-out, but asking on your booking form is better practice and builds a more engaged list. In the UK, the soft opt-in only works if you offered an opt-out when you collected the email address.
What should email marketing for wedding photographers focus on?
The enquiry reply and booking process, because couples compare several photographers. After the wedding, the anniversary and family session emails bring repeat work.
Should my emails show photos?
Marketing emails, yes: one strong image beats a grid. Client emails work best with a link to the gallery rather than large attachments.
The enquiry that never reaches your inbox
Some couples and parents now ask ChatGPT or Gemini to suggest photographers before they send a single enquiry. The photographers named are the ones the assistant can read about on websites, directories and reviews, so a well written site matters long before the first email. AI Knows Us is a new kind of check for this step: it asks those booking questions for your area and style and shows who is named, so you can tell whether you are in the shortlist that the enquiry emails come from.
