Reputation management companies: the four kinds of firm, what each one can and cannot do, and the brief to send before you hire
Which kind of reputation firm fits which problem, named examples from their own sites, the contract clauses to refuse, and a brief that makes quotes comparable.
Published by AI Knows Us · Updated 21 October 2026
Reputation management companies sell four different jobs under one name, and the right hire depends on which job your problem is. Review software platforms collect and answer reviews across locations. Search suppression and content firms change what appears on the first page of results for a name. Legal removal and defamation firms use the courts and the platforms' legal processes for content that is false or unlawful. PR and crisis firms handle news and a live event. Professional reputation management, done well, starts by naming the problem in writing, choosing the kind of firm that works on that problem, and refusing any contract that promises a removal or a ranking. Below are named firms of each kind, from their own sites on 22 October 2026, and the brief to send before you sign.
Name the problem before you name a firm
Most bad hires come from buying the wrong kind of firm: a business with too few reviews pays for months of search work, or a person with an old news story buys review software. So write three lines first:
- Who it is about. A person, a local business, or a company with named leaders. The routes differ for each.
- Where it shows. A review profile, the first page of results for a name, a social platform, a news site, a people search site.
- What kind of content it is. True and fair, true but old, false, private, or unlawful. That third line decides what any firm can actually do.
The four kinds of reputation management company
| Kind of firm | What it can do | What it cannot do |
|---|---|---|
| Review software platform | Send review requests, gather every review into one inbox, draft replies, report on ratings by location, manage listings | Delete honest reviews, change search results for a person's name, handle a news story |
| Search suppression and content firm | Audit the results for a name, build and promote accurate pages and profiles, file platform removal requests where a policy applies | Make a true, lawfully published article disappear, or promise where any page will rank |
| Legal removal and defamation firm | Advise on whether content is unlawful, send demands with a legal basis, seek court orders, use the platforms' legal request forms | Remove criticism that is true or opinion, or make a weak claim strong |
| PR and crisis firm | Handle journalists, statements and spokespeople, and run the response to a live event | Run a review programme or a search campaign as its main work |
Many firms sell across two of these rows. Ask which one is their main work, because that is where their staff and their process sit.
Named firms of each kind, from their own sites
These are examples a buyer will meet, not a ranking. Each line reports what the firm says about itself on its own site, read on 22 October 2026.
Review software platforms
Birdeye describes itself as building "AI coworkers for multi-location brands", with reviews, listings and an AI visibility check in its menu. Reputation calls its product AI-powered reputation management software and its home page that day promoted a webinar on getting multi-location businesses cited in AI answers. Both now sell AI visibility features alongside reviews. What these platforms contain, module by module, is set out in our guide to online reputation management systems.
Search suppression and content firms
ReputationDefender, which now carries the Norton name, says it has helped clients since 2006 and lists online content suppression and reducing personal data on people search sites. BrandYourself sells both software and done-for-you services, for individuals and for businesses, including negative Google result services, data broker removal and Glassdoor review management. Status Labs lists offices in Austin, New York, Miami, London, Los Angeles and Hamburg, and its service menu includes company and personal reputation management and "AI Search (GEO)". Igniyte, a UK firm, says it works with companies, brands and individuals, with services from review management to removing negative content.
Legal removal and defamation firms
Minc Law, a law firm in Cleveland, Ohio, lists defamation, internet content removal, consumer review removal, online harassment and crisis PR among its services. A law firm is the right call when content may be unlawful, and the wrong one for an honest bad review.
PR and crisis firms
Crisis firms are hired for one event or kept on retainer. Our guide to choosing a crisis communication agency covers the three engagement models and the terms to settle before anything happens.
Which kind of firm for which problem
- A low rating or too few reviews at a business. Start in house, then add review software if asking by hand falls behind. The weekly routine for small businesses covers the work, and affordable reputation management covers what is worth paying for on a small budget.
- A bad result on page one for a company name. A search firm, working from the method in our page on search engine reputation management.
- Your own name, as a doctor, lawyer, executive or private person. The routes for individuals are narrower and partly free. Personal online reputation management sets out what can be removed and how long each route takes.
- Content that is false and damaging, or private information published without consent. A lawyer first, then a search firm for what is left.
- A complaint spreading on social platforms. Your own team with a reply policy, covered in social media reputation management.
- A company judged by investors, staff and press as well as customers. Usually more than one firm. Corporate reputation management services maps the seven surfaces and who owns each.
Regulated work has its own rules on what a reply may say. Read the page for your field before a firm drafts anything: healthcare, law firms, financial services, real estate agents, contractors, restaurants and car dealerships.
Contract red flags, clause by clause
The firm acts in your name, so its methods become your problem.
- A promised removal or ranking. Google's own guidance on hiring help, updated 5 June 2026, says: "No one can guarantee a #1 ranking on Google." The same applies to a promised deletion.
- Any review the firm writes, buys or rewards. In the United States, the FTC rule on consumer reviews and testimonials, 16 CFR Part 465, makes it unlawful to write or sell fake reviews (465.2) and to pay or reward people for reviews that express a particular sentiment, positive or negative (465.4).
- Threats as a removal method. Section 465.7 bars unfounded legal threats, intimidation and false public accusations used to stop or remove a review.
- Accounts in the firm's name. Every profile, site and login built for you should be registered to you, so you keep them if you leave.
- Payment tied to vague results. Pay for named work on named URLs, reported monthly in the same format.
What a fair brief looks like
Send the same brief to three firms of the right kind, so their replies can be compared.
- The problem in one paragraph, with the three lines from the first section.
- The exact URLs or profiles, with a dated screenshot of each.
- What you have already tried, including any removal requests and their outcome.
- The countries involved, since removal rights differ by country.
- The work you want priced, described as tasks rather than outcomes.
- The rules you require in writing: no fake or incentivised reviews, no threats without a legal basis, platform policies followed.
- Ownership: every account and asset stays in your name.
- Reporting: the same URLs, checked the same way, each month.
- Term and notice, and the date you will decide.
A firm that names a route for each URL, and says which items it will leave alone, is worth a second call.
Questions about hiring a reputation management company
What are the top 10 reputation management companies?
A single ranking puts a review platform and a defamation lawyer on one list, though they do different jobs. Pick the kind of firm first, then compare three of that kind on the brief above.
Are ORM services the same as reputation management software?
No. Software is a tool your team uses to ask for and answer reviews. ORM services are people doing the work for you, often search and content work.
Can a reputation management company remove negative reviews?
Only where a review breaks the platform's policy or the law, and then through the platform's own process, which you can use yourself. Honest reviews stay. The work that moves a rating is asking every customer and replying well.
How do reputation management companies charge?
Software is sold as a subscription. Search and content work is sold as a project or a monthly retainer. Lawyers bill for legal work separately. Ask for the price of each named task, so two quotes can be compared line by line.
The shortlist a buyer now asks an assistant for
Several firms above now sell AI visibility too, because buyers ask ChatGPT, Gemini or Perplexity which business to hire, and the reply is a short list of names drawn from the reviews, profiles and articles each assistant reads. That list is a separate surface from your rating and your page one results, so ask any firm you shortlist how it will check it. Measuring whether assistants name a business when a buyer asks is the whole job of AI Knows Us, which sits next to reputation work rather than inside it.
