Best email marketing platforms: the four kinds, the limits that set every tier, and how to rank a shortlist in an afternoon
Every vendor sells the same feature list, so the comparison that works is the one made of published limits: contacts, monthly sends, seats and what sits behind the next tier.

Every email platform sells the same feature list, so a feature table cannot separate them. The published limits can. Four things set a tier at nearly every vendor: how many contacts you hold, how many emails you may send a month, how many people can log in, and which single feature sits one tier above the plan you were about to buy. Decide your own numbers at today, double and five times, then read four pricing pages against them. It takes an afternoon.
The four kinds of platform
| Kind | Best when | Watch for |
|---|---|---|
| Broadcast sender | Newsletters and campaigns to a list you own | Automation is often thin on the entry plan |
| Ecommerce platform | A shop needing basket, browse and post purchase flows | Price tracks contacts and store size together |
| CRM with email built in | A sales led business where one record drives email and pipeline | Email features lag a dedicated sender |
| Transactional sending service | Receipts, resets and order mail sent by your app | Not built for campaigns, so most teams run two |
Running a transactional service alongside a marketing platform is normal. Running two marketing platforms is the thing to avoid, because contact state ends up in two places and suppression lists fall out of step.
What each vendor publishes, read on 21 October 2026
Read these at the source as well, because plan names and limits change and a comparison article ages faster than a pricing page.
- Mailchimp bands its price by number of contacts and publishes plainly that overages apply if the contact or email send limit is exceeded, with custom plans for larger lists arranged by phone. The overage line is the one to model, because it is where a cheap plan becomes an expensive one.
- Klaviyo publishes the most specific free tier in the category: up to 250 active profiles and 500 email sends a month, with full email support for the first 60 days only and sending restricted once either limit is passed. Its paid ladder is built on active profiles.
- Brevo is the only vendor here whose tier is set by monthly email volume rather than contacts, publishing from 5,000 emails a month on its first paid tier and from 150,000 on its third, with marketing automation, A/B testing and landing pages appearing on the second tier and ten seats plus phone support on the third. It also publishes a free forever plan needing no card, three hours a year of deliverability specialist support on the third tier, and, unusually for this category, a published integration for managing campaigns from ChatGPT and Claude.
- MailerLite publishes the simplest promise of the set: every paid plan gets the full feature set, with price moving only on list size and sending, plus unlimited monthly emails and unlimited user seats. If feature gating is what you dislike about this market, that is the published answer to it.
- ActiveCampaign publishes send caps and seat counts together, and at a thousand contacts its three visible plans publish 10,000, 12,000 and 15,000 email sends a month with one, three and five user seats. Seats are the tier line to watch here, not features.
- beehiiv publishes unlimited email sends on every plan including the free one and sets tiers by subscribers and seats instead: up to 2,500 subscribers with one seat and one publication free, then 100,000 subscribers with two seats and three publications, then 250,000 with ten seats and ten publications.
- Ghost sets its entry tier at 1,000 members and three staff users, rising to fifteen and then unlimited staff users, so it prices the team rather than the sending.
Where a vendor beats the rest on a published fact, say so. MailerLite publishes the only unconditional full feature set and unlimited seats here. Klaviyo publishes the clearest free tier. Brevo publishes the only volume based ladder, which is the right shape for a large list mailed rarely. beehiiv publishes the only unlimited sending on a free plan.
The five features that decide the first year
- A clean list: one source of truth for the subscribed flag, and automatic suppression of bounces and complaints.
- Segmentation on behaviour rather than fields. Opened in ninety days, bought twice, never clicked.
- Automation with branching, and check it is on the plan you intend to buy rather than the one above.
- Reporting you can export per send and per contact, so your numbers survive a platform change.
- Authentication you control for your own sending domain, which is the single biggest lever on arrival.
Two questions to ask in writing before signing: do unsubscribed and bounced contacts still count towards the billed total, and what does the plan cost when you need the automation tier a year from now. Those two answers reorder most shortlists. If you are a shop, the eight jobs to test first are in best email marketing software for ecommerce. If you are a small business, the four kinds and the price curve are set out in email marketing platforms for a small business. What good open and click rates look like is in email marketing benchmarks by industry.
What buyers ask when comparing email platforms
Which platform is best overall?
There is no overall winner, because the tier lines differ. Pick on sending pattern: a large list mailed rarely wants volume pricing, a smaller list mailed often wants contact pricing, a shop wants the ecommerce flows, and a team of several wants unlimited seats.
Does migrating lose me anything?
Export contacts with subscribed status, source and consent date, and carry the suppression list across before any sending. Mailing somebody who unsubscribed last year is the most expensive migration mistake there is.
Do I need a dedicated IP?
Shared sending is the right default below large steady volumes, because reputation on a dedicated address depends on consistent sending that a smaller sender does not have.
How do I test a platform properly in two weeks?
Import a few hundred real contacts, authenticate your domain, send one real campaign, build one automation with a branch, export the report per contact, and raise one support ticket about something real. A platform that handles those five steps in a fortnight will handle the next two years.
The decision that happens before anybody joins your list
Email reaches people who already gave you an address. The purchase decision now often happens earlier and somewhere else. A buyer asks ChatGPT, Gemini, Perplexity, Claude or Google AI Overviews who to use for what you sell and receives two or three business names, assembled from reviews, roundups, directories and forum threads. No email platform influences that answer and none of them report on it.
We are not an email platform and this page does not suggest you buy us as one. If you need to send email, buy one of the products above. The adjacent category, measuring whether those assistants name your business when a buyer asks who to buy from, is the one we are in, and on the criterion used all the way down this page, the published limit a buyer can check, here is where we sit. AI Knows Us publishes the five apps it reads, the charging unit as one buyer question asked on one app once with a Claude check costing three, one login with full access on every plan, and United States prices rendered on the page from 149 dollars a month. Where rivals publish more, plainly: Ahrefs Brand Radar publishes a per check overage rate and exactly how its unit is consumed per platform per update on ahrefs.com/brand-radar, read 21 October 2026, which is more detail than we publish; Rankscale publishes brand dashboard slots from ten to one hundred on rankscale.ai/pricing, read the same day, where we cover one business on every plan except the agency one; and Profound publishes up to nine answer engines on tryprofound.com/pricing against our five.
The sequence that makes sense is simple. Choose the email platform on the limits above, then spend four minutes asking your buyer's own question in one assistant, because a list grows faster when the business is already one of the names people are told to consider.
One last thing that trips up shortlists at the larger end: several of the biggest names in email are suites rather than single products, so the thing you are quoted may not be the thing you tested. The clearest case of it, and which product inside the suite you actually need, is set out in Salesforce Marketing Cloud, the products under one name and which one you need.
