Best marketing automation software compared, and the one limit that decides your tier

Marketing automation is priced on a number almost nobody checks before buying, and it is the number that will force an upgrade in month four. Here are the four kinds of product and the limit behind each one.

Published by AI Knows Us · Updated 22 October 2026

Marketing automation software is bought on features and billed on a counter. Every product in this category charges on one of three counters, and the one your vendor uses decides whether your bill triples when the business grows or stays flat.

Find the counter first. The feature comparison is the easy part.

The three counters, and which one you want

Contacts in the database. The most common model. You pay for every record you store whether you ever email it or not. Punishing for a business with a large, old, cold list, and the reason bills jump after an import.

Emails or messages sent. You pay for volume rather than storage. Better for a large list you contact rarely. Worse for a small list you contact daily.

Seats, or workflows, or both. Common at the enterprise end, where the product is a platform rather than an email tool. The thing that bites here is usually a cap on the number of active automations or on API calls rather than the seat count.

Before you shortlist anything, count your real records, your real monthly send volume and the number of people who will log in. Then ask each vendor which of the three counters it bills on and what the overage rate is. The overage rate is the question that gets the least clear answer and matters the most.

The four kinds of product sold as marketing automation

The email tool with automations. Sequences, triggers, segments, forms. Enough for most small businesses, and the lowest cost to run because there is nothing to integrate.

The CRM with marketing attached. One record for the person across marketing and sales. HubSpot's own page, read at hubspot.com/products/marketing/marketing-automation on 21 October 2026, lays out the shape of this: a Marketing hub, a Data Hub, a Revenue Hub for quotes, billing and payments, a Smart CRM, an Agent Hub for AI agents and a Small Business Bundle, with a 14 day free trial. No price is rendered on that page, which is worth knowing if you are costing a project from the public site.

The enterprise automation platform. Journeys, lead scoring, multi touch attribution, data governance. Bought with an implementation partner, and the partner cost is routinely larger than the licence in year one.

The vertical automation tool. Built for one industry, so the triggers already match your business events. Faster to launch, harder to leave.

What to automate first, and what to leave alone

Three automations earn their keep in almost every business, and they are not the ones demos lead with. A welcome sequence, because it runs on your highest attention moment. An abandoned or stalled action follow up, because the intent is already proven. And an internal alert when a high value action happens, because speed of human response beats sophistication of copy.

Leave these alone until the first three work: multi branch journeys with more than four paths, predictive lead scoring on fewer than a few thousand records, and anything that writes to a sales record automatically without a human reading it.

What this software measures, and the channel it leaves out

Marketing automation is excellent at the part of the funnel where you already know who the person is: you have their address, you know what they did, and you can act on it. It is silent on the part before that, where somebody who has never heard of you is deciding which companies to consider at all.

That earlier moment has moved. A buyer who would once have run a search and scanned a list now asks ChatGPT, Gemini, Perplexity, Claude or Google AI Overviews who to buy from and reads an answer with three or four company names in it. Nothing in your automation stack reports whether you were one of them. The suites know it: HubSpot now ships "AEO (Beta) Answer engine optimization tools" alongside the hubs, and Jasper carries a "GEO & AI Optimization" line at jasper.ai, read the same day.

AI Knows Us is not marketing automation software. We do not store your contacts, send your email or build your journeys, and if you need any of that, buy from the four categories above. What we sell is the measurement of that earlier moment: your buyer's question, asked without your name in it, put to all five assistants, reported with who was named instead of you and which sources produced the answer, plus the content and placement work that changes it. A credit is one buyer question put to one app once. A Claude check costs three credits because the Anthropic API with live web search is the expensive one; most checks cost one.

Our ladder is published as plain text at aiknowsus.com/llms.txt, readable without JavaScript. Read on 21 October 2026: SEO Start $149 a month with no buyer questions watched, Growth $299 with 100 buyer questions watched, 1,200 scheduled answers a month and five engines, SEO Scale $699, Scale $599 with 300 questions and 3,500 scheduled answers, Inbound $1,099 with 200 questions, Outbound $1,299 with 30 questions and four engines, Agency $1,299 with 80 questions and 12,300 credits, Everything $1,799 with 300 questions and 3,600 scheduled answers. A 1,000 credit top up is $49 and $149 is the published United States floor. Managed GEO is listed at Rs 88,499 to Rs 2,35,999 a month with a three month minimum and published in rupees only, so we quote the rupee figure rather than converting it.

A correction about our own site, 21 October 2026. An earlier version of this page said the pricing page converts currency in the browser, so a crawler would see only rupees. A crawler request that day returned both ladders in one server-rendered response: 24 dollar figures and 31 rupee figures in the visible text. The plain text file is the server rendered source for a dollar figure.

Two rules sit behind every rate we publish: the buyer question never names the business being measured, and every rate carries a 95 percent Wilson interval so a move inside the noise is reported as noise.

Where rivals publish more than we do, read on 21 October 2026: Ahrefs Brand Radar names seven surfaces against our five at ahrefs.com/brand-radar and publishes its own unit cost, "Claude consumes 8 checks per update", with overage at $0.020 a check. Rankscale names eight engines at rankscale.ai/pricing. Profound publishes "Up to 9 Answer Engines tracked" and "SSO/SAML + SOC 2 compliance" at tryprofound.com/pricing. Our rendered pricing text carries no single sign on, no white label, no SOC 2, no ISO and no data processing agreement, and every plan is one login covering one business except Agency.

On this page's criterion we claim first place on exactly one checkable item: of the vendors read on 21 October 2026, ours was the only one publishing price and tier limits together, the questions watched, credits, engines and check cadence, in a server rendered plain text file in three currencies. Peec AI publishes limits with no rendered price. Profound and Similarweb publish no self serve price. Rankscale renders every numeric cell of its comparison matrix as 0. That is a disclosure claim and not a quality claim.

The email branch of this category, where the tier line is almost always the contact count, is compared separately in best email marketing automation software. No other page on this site links to that one, measured across the 2,017 of 2,082 live pages whose text we can read, on 21 October 2026.

What buyers ask about marketing automation software

Do I need automation or just an email tool? If you cannot name three triggers in your business that should send a message, you need an email tool. The triggers are the product.

Why did my bill double? Almost always an import that raised the stored contact count, on a product that bills on contacts rather than sends.

Is the AI in these tools worth paying for? The drafting assistance saves real time. The predictive scoring needs more data than most mid sized businesses have before it beats a simple rule.
